Job Description

Real Estate Clerk I

The Real Estate Clerk I plays a vital role in supporting the accurate intake, indexing, and preservation of real estate documents filed with the Superior Court Clerk's office. The position requires keen attention to detail, comfortable with financial processing, and strong interpersonal skills to serve both internal departments and the public. The role ensures that real estate records and associated historical documents are maintained with integrity, accuracy, and accessibility.

Essential Duties and Responsibilities
  • Review and process real estate instruments, ensuring accuracy in signatures, return addresses, property location, document classification, and fee calculation.
  • Perform data entry and verification using double-entry control methods.
  • Collect and process payments (cash and check) for real estate filings and related transactions.
  • Process ancillary filings such as Trade Name/OBA registrations, Articles of Association for Professional Associations, and Military Discharge Records (DD214).
  • Provide courteous and accurate customer service in person, by phone, and at the front counter as part of a shared rotation.
  • Maintain confidentiality and ensure compliance with all statutory requirements and office protocols.
  • Assist in the organization, storage, and digital preservation of historic real estate documents.
  • Provide support at the Clock Tower location, including front-facing customer assistance and real estate-related service delivery.
  • Perform other duties as assigned in support of departmental operations
Education, Training and Experience

Minimum High school or GED and some college coursework with a minimum of one (1) year in office experience or equivalent combination of education to provide knowledge, skills and abilities to successfully perform the duties and responsibilities of the position.

Knowledge, Skills, and Abilities
  • Proficiency in Microsoft Office products and office equipment.
  • Minimum typing speed of at least 35 wpm.
  • Strong technology aptitude with the ability to learn proprietary software systems.
  • Excellent verbal and written communication skills.
  • Demonstrated organizational ability and attention to detail.
  • Strong interpersonal skills and the ability to work effectively with the public and colleagues at all levels.
  • Ability to exercise sound judgement, maintain professionalism under pressure, and manage time effectively.
  • Demonstrated ability to work effectively with members of all levels within the organization and public.
  • Demonstrated ability to show good judgment, consistency, timeliness, and respect in decision-making.
  • Ability to work independently and collaboratively as part of a team.
