The Opportunity: Royal Palm Academy is an up-and-coming independent Catholic school that has undertaken a major campus transformation and strategic plan to become a modern 21st-century campus forming future leaders for decades to come. As part of this vision, we are seeking a mission-aligned Advancement Database Manager to fill an urgent need in our Advancement Office. This role is central to expanding and strengthening our advancement capacity, especially in the moves management of identifying, cultivating, soliciting, and stewarding major, leadership, and principal donors. The Advancement Database Manager must be capable of managing all aspects of our Raiser's Edge NXT CRM, including database management, reporting, dashboards, and supporting the daily advancement work of the Director of Advancement and Head of School. At the same time, Royal Palm Academy is a small but growing entrepreneurial school. Position Overview: The Advancement Database Manager is responsible for ensuring the accuracy, integrity, and effective use of donor data in Blackbaud Raiser's Edge NXT. This includes managing gift processing and acknowledgments, producing reports and dashboards, supporting donor research and stewardship, and facilitating campaign and event operations. The role partners with the Director of Advancement, Head of School, and Business Office to ensure data-informed strategy and smooth advancement operations. Key Responsibilities: Database Management & Gift Processing

  • Serve as RPA's in-house expert and primary administrator of Raiser's Edge NXT.
  • Ensure accuracy, integrity, and security of all donor and constituent records.
  • Process and acknowledge all gifts, pledges, sponsorships, and matching gifts.
  • Conduct regular audits, de-duplication, and biographical updates.
  • Partner with the Business Office on reconciliation, pledge validation, and annual audit reporting.
  • Manage integrations with platforms such as GiveCampus, GiveSmart, FACTS Giving, and FACTS CRM.
Reporting & Analytics
  • Generate reports, dashboards, and lists to measure fundraising performance and campaign progress.
  • Provide actionable insights to support appeals, stewardship, and major gift strategies.
  • Prepare annual benchmarking data for NAIS DASL and other reports.
Prospect Research & Stewardship
  • Support moves management by tracking actions, contact reports, and donor portfolios.
  • Assist in preparing donor profiles, research briefs, and giving histories.
  • Oversee donor acknowledgment processes and accurate donor listings for publications.
Growth Opportunity Areas (for the right candidate):
  • Communications: Draft newsletters, stewardship communications, and event invitations.
  • Events: Assist with planning and executing fundraising and community events.
  • Media and Marketing: Capture and share stories or photos for alumni and donor engagement.
  • Leadership: Provide executive support to the Head of School (calendar, board reports, correspondence, planning, coordination, communication).
Required Qualifications:
  • Bachelor's degree in a relevant field.
  • Experience and strong capability in database management/CRM management is required and is the core responsibility of this position.
  • Strong technical skills in gift processing, reporting, and donor data management.
  • Outstanding and precise organizational skills and attention to detail.
  • Ability to maintain confidentiality and professional discretion.
  • Strong written and verbal communication skills.
  • Alignment with the mission and values of Royal Palm Academy.
Preferred Qualifications:
  • Experience with Blackbaud Raiser's Edge NXT is preferred (but not a hiring requirement).
  • Experience in an independent or Catholic school advancement office.
  • Familiarity with other common giving platforms is preferred (GiveCampus, GiveSmart, FACTS Giving).
Physical and Other Demands:
  • Prolonged periods working on a computer.
  • Ability to lift up to 20 pounds for events or materials.
  • Flexibility to work occasional evenings or weekends for events or deadlines.
