We are looking for an Administrative/Executive Assistant to join our team on a contract basis in Irvine, California. In this role, you will provide essential administrative support, ensuring smooth office operations by managing tasks such as document preparation, record maintenance, and correspondence. This position requires strong organizational skills, effective communication, and the ability to handle sensitive information with discretion.

Responsibilities:
• Manage office supplies, maintain record-keeping systems, and handle basic bookkeeping tasks.
• Create and format invoices, reports, memos, letters, and financial statements.
• Organize and retrieve corporate records, documents, and reports as needed.
• Draft and respond to routine correspondence in a timely and thorough manner.
• Conduct research to support office functions and provide accurate information as requested.
• Coordinate communication within the office, ensuring timely distribution of faxes and other materials.
• Perform photocopying, scanning, and other clerical duties to support daily operations.
• Collaborate with team members to ensure efficient workflow and prioritize tasks effectively.• Strong verbal and written communication skills, with the ability to multitask and provide excellent customer service.
• Proven ability to work independently, manage time effectively, and maintain confidentiality.
• Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
• Experience in organizing records and managing information securely.
• High school diploma or equivalent education required.
• 0-2 years of relevant experience in administrative or executive assistant roles.
• Familiarity with basic bookkeeping and preparing detailed correspondence.
• Strong interpersonal skills to interact effectively with colleagues and external contacts.
