Location: Franklin/Greater Nashville, TN (Hybrid - mostly remote)

Compensation: $23-$32/hr

Advancement to full-time mid/late-2026

Role Overview

We are hiring an Administrative / Executive Assistant who will provide administrative and operational support to the founder and team.

This role includes:

  • Managing administrative tasks
  • Organizing projects
  • Email communication
  • Coordinating content schedules
  • Maintaining systems and creating processes
  • Handling scheduling
  • Light financial support (invoice payments)

 

This role begins at 10–15 hours/week, with a clear path to full-time mid-2026 and leadership opportunities as we grow.

 

Key Responsibilities:

1. Administrative & Executive Support

  • Manage scheduling, calendars, and meeting coordination
  • Triage and organize the founder’s inbox
  • Prepare agendas, notes, documents, and follow-up lists
  • Organize internal files, folders, and lists
  • Other duties as needed
  • Support with light accounts payable (paying invoices, tracking vendor payments)

2. Operations Support

  • Maintain and organize project tracking systems (Google Sheets)
  • Track deadlines and goals to provide weekly progress updates
  • Maintain excellence in our internal workflows, create SOPs, and document processes
  • Identify and suggest improvements to operations
  • Organize teacher feedback into clear categories for product updates
  • Support communication and follow-through

3. Communication Support

  • Draft simple, clear internal and external communications
  • Assist with teacher or client communication
  • Follow up on forms, tasks, documents, and commitments

4. Content Coordination + AI tools

  • Assist with content creation using AI tools
  • Format and finalize content
  • Upload curriculum content into WordPress/LearnDash (LMS)
  • Maintain content organization and version control/consistency
  • Assist with updating curriculum support materials as needed

5. Podcast & Scheduling Coordination

  • Book podcast guests (gather bios, headshots, and materials)
  • Coordinate schedules and confirmations
  • Book external podcasts for founder
  • Track episode progress and deliverables
